ROLE OVERVIEW
We are looking for a proactive and dedicated HR & Admin Executive to join our Hanoi office. This role plays a vital part in supporting the full recruitment cycle and ensuring smooth daily office operations. You will work closely with internal stakeholders and external partners to create a professional, well-organized, and people-centered work environment.
MAJOR TASKS
Recruitment
- Collaborate with hiring managers or department heads to understand job requirements and candidate profiles.
- Manage end-to-end recruitment process: job posting, screening, scheduling interviews, and coordinating offers.
- Conduct first-round interviews and support hiring decisions.
- Draft and negotiate offer letters and onboarding packages.
- Organize new employee onboarding: workspace, equipment, welcome kits, and induction programs.
- Follow up with line managers on probation evaluations.
- Support employer branding and talent pipeline through collaboration with universities (career fairs, internships, etc.).
Administration
- Organize staff benefits and engagement activities: annual health checks, company trips, gifts, monthly briefings, and year-end parties.
- Support travel logistics for employees and expats: flight and accommodation booking, visa and insurance arrangements.
- Handle administrative paperwork for expats: visa, work permits, and residence cards.
- Maintain office records, contracts, and agreements.
- Monitor petty cash, expense tracking, purchase orders, and invoice processing.
- Coordinate with vendors and suppliers for office-related services and payments.
- Manage incoming/outgoing correspondence and general office communication.
JOB REQUIREMENT
Qualifications & Experience:
- Bachelor’s degree in Human Resources, Business Administration, or a related field.
- At least 3 years of experience in HR, especially in recruitment & administration.
Skills & Competencies:
- Fluent in English and Vietnamese (both written and spoken).
- Strong interpersonal, organizational, and problem-solving skills.
- Ability to manage multiple priorities independently.
- Detail-oriented with good numerical and analytical skills.
- Proficient in MS Office (Excel, Word, Outlook, PowerPoint).
- Collaborative and team-oriented, with a positive, can-do attitude.
